Cluny Club Rules and Terms
Cluny Club (“the Scheme”) is a subscription-based prize draw operated by Forres Golf Club (“the Club”, “we”, “us”). By joining Cluny Club you agree to these Rules.
1. About Cluny Club
- Cluny Club is operated by Forres Golf Club as a subscription-based prize draw.
- The Club is registered on the Moray Licensing Board’s Register of Small Society Lotteries. Registration number: GA-SSL-0215.
- These Rules apply to all participants. By setting up the monthly subscription, you agree to be bound by these Rules.
2. Eligibility
- You must be 16 years or older to participate.
- You must have an active monthly subscription and be up to date with payments.
- The Club may refuse, suspend, or remove participation where required for governance, integrity of the Scheme, or legal compliance.
3. How to Join
- To join, complete the following three steps:
- Confirm your eligibility and agree to these Terms on the Cluny Club page.
- Set up your £10 per month card subscription via the Club’s nominated payment provider.
- Choose your 4 lucky numbers (1–25) using the secure number picker you will be directed to after payment setup.
- Your membership becomes eligible once your subscription is active, your payment is in good order, and your number selection has been submitted.
- If you do not complete all three steps you will not be entered into the draw.
4. Subscription Fee, Payments, and Eligibility
- The monthly subscription fee is £10 per month, collected by recurring card subscription via the Club’s nominated payment provider.
- Eligibility is based on being an active paid member. Only members whose subscription is active and whose payment status is in good order at the draw cut-off will be included in that month’s draw.
- If a payment fails, is reversed, or your subscription is cancelled, you will be treated as inactive for draw purposes until the issue is resolved.
- You may cancel at any time through the payment provider or by contacting the Club.
5. Number Selection
- Each member selects 4 unique numbers between 1 and 25 as part of their registration.
- Numbers are submitted via the secure token-protected number picker on the Club’s website, accessible only after payment setup is completed.
- Numbers are held on file and used for every draw while your membership remains active.
- To request a change to your numbers, contact the Club at [email protected].
6. Entries — No Multiple Entries
- Each member is entitled to one entry per month only.
- Multiple entries are not permitted. If a person attempts to hold more than one active subscription for additional entries, the Club may cancel the additional subscription(s) and apply a refund at its discretion where appropriate.
- Multiple members of the same household may participate, provided each entry is registered in a different individual’s name.
7. Draw Date and Method
- The draw takes place monthly on the last Saturday of each month.
- The draw is conducted from the list of active paid members as at the draw cut-off time on the day of the draw.
- The jackpot draw uses a cryptographically secure random number generator to select 4 numbers from 1–25.
- The monthly raffle prizes are drawn by randomly selecting winners from all eligible active members.
- The Club will keep an internal record of the eligible list used and the draw result.
8. The Jackpot
- The Jackpot starts at £500.
- If the Jackpot is not won in a given month, it rolls over and increases by £500 for the following month.
- The Jackpot continues to roll over until won, up to a maximum of £5,000, subject to the must-win rule below.
- The Club reserves the right to amend the prize structure where required to ensure the Scheme remains financially sustainable and compliant with applicable lottery requirements.
9. Jackpot Winning Condition
- The Jackpot is won when a member’s 4 chosen numbers exactly match the 4 numbers drawn that month, in any order.
- If more than one member holds the matching numbers, the Jackpot winner will be selected at random from those matching members.
10. Must-Win Rule at £5,000
- If the Jackpot reaches £5,000 and is not won by number match in that month, the Club will run a raffle draw from all eligible active entries to ensure the Jackpot is awarded.
- The first valid drawn entry will be declared the Jackpot winner.
- Following a Jackpot award, the Jackpot resets to £500 for the next month.
11. Monthly Raffle Prizes
- Each month, regardless of whether the Jackpot is won, three raffle prizes are drawn from all eligible active members:
- 1st prize: £150
- 2nd prize: £75
- 3rd prize: £25
- The monthly raffle and the Jackpot draw are independent — a member may win both a raffle prize and the Jackpot in the same month.
12. Winner Notification, Publication, and Contact
Winners will be notified by email using the details provided during registration. Winners’ names will be announced via email, the Club newsletter, and the Club website.

2. What data we process
We process only what is necessary to administer membership and the draw.
- Identity and contact data: name, email address, and phone number collected during payment setup and/or the number selection form
- Number selection: your 4 chosen numbers (1–25), held on file for draw purposes
- Membership and payment status: subscription status, active/inactive status, payment confirmations and payment provider reference IDs
- Communications: emails or messages you send us about Cluny Club
- Winner administration data: information needed to arrange prize delivery
3. How we use your data
- Set up and administer Cluny Club membership
- Maintain the list of eligible active paid members for each draw
- Conduct and audit monthly draws
- Notify winners and arrange prize delivery
- Manage cancellations, failed payments, disputes, and support queries
- Meet governance and accounting record-keeping requirements
- Comply with our obligations as a registered Small Society Lottery, registration number GA-SSL-0215
4. Legal basis — UK GDPR
- Contract: processing needed to administer your membership and participation in the Scheme
- Legitimate interests: running the Scheme fairly and securely, preventing misuse, and maintaining appropriate records
- Legal obligation: retaining records required for accounting, governance, and Small Society Lottery registration
5. Sharing your data
We do not sell personal data. We may share limited data with:
- The Club’s nominated payment provider to process card subscription payments and confirm subscription status
- Service providers supporting the Club’s website, IT, and communications systems, only as necessary
- Regulators or authorities where required by law, including the Moray Licensing Board
6. Winner publication
Winners’ first and last names will be announced via email, the Club newsletter, and the Club website. We will not publish full addresses or any payment details.
7. Data retention
We keep personal data while your subscription is active and for a reasonable period afterwards to manage cancellations, disputes, and audit. We retain records for as long as required for accounting and governance purposes, typically up to 6 years, and for as long as required under our Small Society Lottery registration obligations.
8. Your rights
You have rights under UK GDPR including access, correction, erasure in certain circumstances, restriction, objection, and data portability where applicable. To exercise your rights, contact [email protected].
9. Security
We implement reasonable technical and organisational measures to protect personal data. The number selection form is token-protected — only members who have completed payment setup receive a valid access link, which expires after 48 hours. Payment details are handled by the Club’s nominated payment provider under their security controls; the Club does not store full card details.
